Wheelchair Maintenance Checklist: Daily Signals and Stop-Use Warnings
Use a practical daily and weekly wheelchair check to notice changes early, document them clearly, and know when to stop and call a technician.

A useful wheelchair maintenance checklist takes two minutes before use, ten minutes each week, and a documented professional service interval based on the manufacturer’s manual. The daily check catches immediate hazards; the weekly check catches change; the service record gives a qualified technician evidence instead of a vague report that the chair feels different.[7][1]
Stop using the chair and arrange qualified help when a brake will not hold, a wheel or caster is unstable, the frame is cracked or visibly damaged, electrical insulation is damaged, components smell hot, or control behavior becomes unpredictable. Maintenance is easier when you know the baseline. Clean enough dirt and hair from accessible areas to see components clearly, following the manual. Write what changed, when it began, whether it is constant or intermittent, the surface or activity where it occurs, and any display code. Add a short video only when it can be captured safely. Ask the supplier what should happen before the next use, whether a loaner is available, and what documentation a payer requires.[9][10][7]
For Medicare or Medicaid coverage, repair and replacement requirements depend on eligibility, medical necessity, supplier status, state rules, and documentation. Confirm the current process with the plan, supplier, and treating team before authorizing work based on an assumed benefit.[9][10]
Make the checklist stick
Keep the checklist where the chair is parked, pair the weekly review with charging or laundry, and assign ownership without removing the wheelchair user’s control. A caregiver can observe and record, but changes to fit and function should center the person who uses the chair.[4][1]
Review the log after any repair. Confirm that the original symptom is gone, controls and brakes behave normally, seating positions match the prescribed setup, and the user can complete familiar tasks before returning to a demanding route.[7][2]
Plan for a breakdown before it happens
Write a backup mobility plan that fits the user rather than assuming any loaner will work. Include safe transfer requirements, seating or pressure-management needs, transportation constraints, essential destinations, and contacts for the supplier, clinician, payer, and emergency support. Review the plan after equipment or health changes.[1][4]
A travel toolkit may include the manual, supplier contact, permitted basic tools, charging information, tire or tube specification, and accessible transportation details. Carry only tools and parts the manufacturer and user’s team consider appropriate; an improvised roadside repair can create a second failure.[7][14]
For air travel, document the chair and battery information requested by the carrier and review current disability-assistance rights and procedures. Photograph the chair before handoff and inspect it promptly after return. Airline processes can change, so confirm details for the specific trip.[14]
Manual and power chairs need different attention
Manual-chair checks often emphasize tire pressure, wheel attachment, spokes or mag wheels, push rims, casters, brakes, upholstery, and frame joints. Power-chair checks add batteries, charger, controls, motors, cables, connectors, lights, and programmed behavior. The exact list must come from the model manual.[7][8]
